If you pay an LLC business cost with your personal card while working in Chiang Mai, save more than the receipt. Record who paid, what the expense was for, whether the LLC reimbursed you, and how it was entered in the books. Otherwise, a cost that never appears in the LLC bank account can disappear from the Form 5472 preparation file.

This guide assumes one non-U.S. individual owns a U.S. disregarded LLC without a corporate election. It does not establish that your accommodation, flights, meals, or coworking costs are deductible in any country.

The missing-transaction problem

Your LLC statement shows no payment for a coworking membership because you used a personal card. Later, the LLC transfers money back to you. If the preparer sees only that transfer, they may lack the evidence needed to distinguish reimbursement from another owner payment.

The IRS Form 5472 instructions require records supporting related-party transactions and address contributions and distributions for foreign-owned disregarded entities. An owner-funded business cost belongs in that review even when the LLC had little or no revenue.

The right first step is disclosure, not choosing a form line from the merchant name.

Use a receipt-to-reimbursement register

For a nomad moving between coworking spaces and short-term accommodation, this register is more useful than a folder of unlabeled phone photos.

Use a shared reference on the receipt, card entry, and reimbursement. Keep the original currency visible after converting the records to dollars.

Example: a coworking payment followed by reimbursement

Suppose you personally pay THB 6,000 for a workspace used for the LLC's client work. Two weeks later the LLC reimburses that exact documented cost. The amount and scenario are illustrative; no exchange rate is assumed.

Give the preparer both events: the original owner-funded payment and the later reimbursement. Do not delete the first event because the owner eventually received the money back. Do not count the workspace expense twice in your profit-and-loss records either.

The proper related-party reporting depends on the underlying facts and accounting entries. Keep the two directions visible and have the preparer determine the reporting, rather than netting everything to zero because you personally “broke even.”

Be careful with mixed personal and business spending

An accommodation bill can include a room, meals, airport pickup, and workspace access. A single card payment is not proof that every component was an LLC business cost. Ask the provider for an itemized receipt and record your business explanation contemporaneously.

If you cannot establish the business portion, flag it for review. Do not invent a percentage or relabel a holiday as a business trip. Form 5472 transaction reporting and expense deductibility answer different questions.

For currency conversion, keep a consistent documented method appropriate to the transaction and accounting basis. The IRS explains the role of functional currency and transaction-date exchange rates in its foreign-currency guidance; an unexplained year-end rate is not a substitute for that analysis.

Frequently asked questions

Can I omit a small cost because the LLC had no income?

Do not use no income as a reason to omit an owner-funded cost from the preparation records. Give the preparer the complete transaction history so they can assess the reporting requirement.

Does using the LLC card make a personal expense deductible?

No. The payment instrument does not establish business purpose or deductibility. Identify personal spending separately and have any owner-related entry reviewed.
